Thank you for your interest in becoming a vendor for the 2017 VA SAR Conference. In it’s 8 years, the conference has grown to be one of the largest SAR conferences on the East Coast. Our conference is family and pet friendly, and caters to Search and Rescue, Fire, EMS, and Law Enforcement personnel from across the state, country, and even the world. It is held at the beautiful Holiday Lake 4-H Center in Appomattox VA, which offers opportunities for fishing, canoeing, camping, hiking, and many more outdoor activities.
The conference will begin on Thursday, April 20th and conclude on Sunday, April 23rd. Each day begins with a buffet style breakfast at 7am, and sessions beginning at 8am. Lunch is served at 12 noon, and afternoon sessions begin / resume at 1pm. Dinner is served at 6pm and the rest of the evening is free time for enjoying the area, networking, perusing the vendors, and socializing. Vendors can expect their busiest times to be breaks, meals, and evenings.
Our vendors are set up in two locations on the center grounds adjacent to the main conference building. We have sheltered booths available in the pavilion, and tent booths on the grounds (see attached map). The booths in the pavilion will be offered on a first come, first serve basis. While the pavilion booths are under a roof, the side walls are partially open, so please plan accordingly for weather. In the past, vendors have brought along a couple of tarps to close out the elements. You must bring your own tent or canopy (for the booths on the grounds) and table(s). Electricity will be available as needed. If you require electricity, please bring one outdoor extension cord (preferably 50 ft or longer).
Your vendor registration fee includes lodging and meals for one person. Please refer to the fee schedule on the following page for additional Information. You will also need to bring linens and towels. You are encouraged to participate in the conference if you would like to do so. While we encourage a donation for the raffles, it is not required. The conference will also make a purchase from each vendor to supplement the raffles.

Vendor – Full Conference: Discounted price of $300 for the entire 4 day conference. Includes Meals and Lodging for 1 person and one 12′ x 12′ booth.
Vendor – Day Ticket: $100 per day. Includes Meals and Lodging for 1 person and one 12′ x 12′ booth.
Vendor – Additional Booth Space: Additional 12′ x 12′ spaces are available at an additional charge of $50 per day.
Daytime $50 per day: This ticket will need to be purchased for each additional person that will be attending with your business.
– Electricity will be provided free of charge. If you require electricity, please bring an outdoor extension cord (50 ft or longer) and a power bar.
– There is no cell service at the conference center. Wi-fi is available, but bandwidth is limited. Please plan accordingly.
– Linens are not provided. Please bring bed linens and towels / washclothes.
– All meals are buffet style. If you have special dietary needs, you may need to bring your own food. Refrigeration is available if you need to do so. There are also several restaurants within a 20 minute drive of the center.
All Vendor booths are 12 ft x 12 ft. The booths on the grounds are not sheltered, so please bring a pop-up canopy or other form of shelter. The booths in the pavilion will be given on a first come, first served basis. The pavilion is sheltered, but the sides are partially open. We recommend a couple of tarps to help block out the elements.
